Tally to Zoho Books migration

Migrating from Tally to Zoho Books means moving your chart of accounts, masters, opening balances and transaction history onto a system that behaves differently — and reconciling the result to what you have already filed. The migration itself is mechanical. The difficult part is deciding what your Tally data should become, because the two systems do not model the same things the same way.

Tally is a ledger. Zoho Books is a business system with a ledger inside it. That difference is why migrations go wrong: a straight export and import produces an accounting system that technically balances and describes nothing. Ledgers that were really cost centres, customers that were really projects, and a chart of accounts grown by accretion over a decade all arrive intact and useless.

We have also been called in to repair migrations someone else did. The pattern is consistent — the data moved, the training did not, and the gaps that opened up were never closed. Suspense balances nobody can explain. GST and TDS ledgers that do not match what was filed. Approvals running on email because the system's approvals were never configured.

So we treat the migration as an accounting exercise with a data-transfer step in it, rather than the other way round.

What the work includes

  • Chart of accounts cleanup — deciding what each Tally ledger should become
  • Customer and vendor master sanitisation and de-duplication
  • Opening balances reconciled to the last filed position
  • Historical transaction migration across the periods you need
  • GST and TDS ledgers checked against filed returns
  • Direct bank integration and feed rules
  • Validation rules, including mandatory attachments on purchase transactions
  • User roles and permissions
  • User and admin training, including on-site sessions
  • Reconciliation and sign-off before go-live

How it runs

  1. 01

    Read the Tally data

Before anything moves, we work out what is actually in there — which ledgers are live, which are historical residue, where the same customer exists three times, and what the auditor relied on at year end.

  2. 02

    Design the destination

The new chart of accounts is designed for how you report now, not as a copy of what Tally accumulated. This is the step that decides whether the migration is worth doing.

  3. 03

    Migrate and reconcile

Masters, then opening balances, then transactions. Each stage reconciled before the next. The closing position in Zoho Books has to tie to the last filed position in Tally, and we do not proceed until it does.

  4. 04

    Train on your own data

Users and admins are trained on the migrated books, on site where that helps. Training on a demo company is how systems go live and stop being used.

Questions we get asked

Will we lose our Tally history?

No. Historical transactions migrate across the periods you need — invoices, bills, credit and debit notes, payments, bank transactions, journals and expenses. We have moved close to two years of full history on a single engagement.

How long does a Tally to Zoho Books migration take?

Usually four to eight weeks end to end. The driver is the state of your Tally data, not the volume. Clean masters and reconciled balances move quickly; a decade of accumulated ledgers takes longer, because the decisions take longer.

Will the migrated books tie to our filed returns?

That is the acceptance test. Opening balances are reconciled to the last filed position, and GST and TDS ledgers are checked against what has actually been filed. We do not go live on a position that does not tie.

Can you fix a migration someone else did badly?

Yes, and we have. The usual work is reconciling the books back to the audited financials, explaining and clearing suspense balances, and closing the process gaps the original migration left open.

Do we have to stop using Tally during the migration?

No. You keep operating in Tally until the reconciled position is signed off. The cutover happens at a period boundary you choose.

Is Zoho Books actually better than Tally for us?

Not automatically. Tally is a competent ledger and plenty of businesses should stay on it. Zoho Books earns its place when you need approvals, multi-user access with real permissions, integration with the rest of your systems, or reporting that does not depend on somebody exporting to Excel. If that is not you, we will say so.
