Invoicing & receivables

Managing invoicing across eleven entities

Roughly seven hours a week returned to the team. Receivables visible without anyone rebuilding a spreadsheet. Around 10,000 invoices processed.

The starting point
The firm billed through eleven separate legal entities, each on its own Tally company. Producing a combined view meant opening each one, exporting, and reassembling a summary in Excel. It took seven to eight hours a week, and nobody could answer “who owes us money” without setting aside the better part of a day.
What we did
Costed Zoho and Odoo against the requirement, then built a web invoicing platform across eleven billing entities with credit notes, aging and field-level audit logs. Blume Labs' first engagement, delivered in two months.
The outcome
Roughly seven hours a week returned to the team. Receivables visible without anyone rebuilding a spreadsheet. Around 10,000 invoices processed.

The brief

This was Blume Labs' first engagement. The scope was agreed before the stack was chosen, and the platform was built from a standing start and delivered in two months.

We compared before we built

Zoho and Odoo were evaluated against the requirement. Zoho needed six module licences plus an Analytics subscription, priced per user and recurring indefinitely. Modelled over time, the numbers favoured building.

What we built

A web-based invoicing platform:

  • Multiple billing entities with client masters
  • invoice creation and status tracking from draft to final
  • invoices and statements sent directly from the platform
  • custom tags by partner and entity
  • credit notes
  • payments
  • aging, entity-wise and partner-wise reporting
  • configurable settings
  • field-level audit logs recording every change to invoices and credit notes

The outcome

Around 10,000 invoices processed on the platform to date. Roughly seven hours a week returned to the team.

And, for the first time, receivables visible without anyone rebuilding a spreadsheet.
